1. Introduction

Welcome to Code on Wheels. We are a registered 501(c)(3) non-profit organization dedicated to bringing programming education to our community. At Code on Wheels, we respect your privacy and are committed to protecting it. This Privacy Policy explains how we collect, use, and safeguard information when you visit our website at www.codeonwheels.org. We believe in data minimization and only collect the information necessary to improve our website and process charitable donations.

2. Information We Collect

We collect two basic types of information from our website visitors:

A. Information You Voluntarily Provide
If you choose to support our mission by making a donation, signing up for our newsletter, or contacting us, we collect the personal information necessary to process your request. When you interact with us in these ways, you may provide information such as your:

    • Name
    • Email address
    • Mailing/Billing address
    • Phone Number
    • Donation History

Please note: Code on Wheels does not store or have direct access to your sensitive financial data (like full credit card numbers or bank account details). That information is securely processed and stored by Givebutter and its payment processors.

B. Automatically Collected Information (Website Analytics)
To better understand how visitors interact with our website, we use Google Analytics. This service automatically collects certain anonymous, non-personally identifiable information, which may include:

    • Your IP address (anonymized whenever possible)
    • Browser type and operating system
    • The pages you visit on our website
    • The time and date of your visit
    • The website that referred you to us

3. How We Use the Information

We use the information we collect for the following internal purposes:

  • To Process Donations: To securely process your gifts, issue official 501(c)(3) tax receipts, and send donation acknowledgments.
  • To Manage Donor Relationships & Outreach: We store your contact information and donation history in our Customer Relationship Management (CRM) system, HubSpot, to keep an accurate record of our supporters.
  • To Communicate With You: To send you updates about our programming education initiatives (only if you have opted in or provided your email during the donation process). You may opt out of these communications at any time.
  • To Improve Our Website: We use aggregated, anonymous Google Analytics data to analyze website traffic, evaluate the reach of our programs, and improve our website's user experience.

We will never sell, rent, trade, or share your personal information with any third parties for marketing or advertising purposes.

4. Third-Party Service Providers

We rely on trusted third-party platforms to help us manage our operations securely and efficiently. We only share your data with these providers to the extent necessary for them to perform their services for us.

  • Givebutter: We use Givebutter to securely process all online donations.
  • HubSpot: We use HubSpot as our secure CRM to store contact information, manage our community database, and send outbound emails.

We encourage you to review the privacy policies of Givebutter and HubSpot to understand how they manage and protect data on our behalf.

5. Your Communication Choices (Opting Out)

We only want to send you emails you want to receive. If you are on our mailing list and no longer wish to receive future outreach, newsletters, or fundraising communications from Code on Wheels, you can opt out at any time.

You can do this by clicking the "Unsubscribe" link located at the bottom of any automated email you receive from us (powered by HubSpot), or by contacting us directly at hello@codeonwheels.org to be removed from our database.

6. Cookies and Tracking Technologies

Google Analytics and HubSpot use "cookies"—small text files placed on your device—to help us analyze how users use the site and to remember your preferences.

  • You can configure your web browser to refuse cookies or to alert you when cookies are being sent.
  • You can prevent Google Analytics from recognizing your return visits by downloading and installing the Google Analytics Opt-out Browser Add-on.

7. External Links

Our website may contain links to other external sites or coding resources. We have no control over the content and policies of external sites and cannot accept responsibility for their respective privacy practices.

8. Children's Privacy

As an organization focused on programming education, we recognize the importance of protecting the privacy of young learners. Our website does not knowingly collect or solicit any personally identifiable information from anyone under the age of 13. If you are a parent or guardian and believe we have inadvertently collected personal data from your child, please contact us so we can take immediate steps to remove such information from our CRM.

9. Changes to This Privacy Policy

We may update our Privacy Policy from time to time as we add new features to our website or as legal requirements change. Any updates will be posted on this page, and the "Effective Date" at the top of the policy will be updated accordingly.
